Monthly Board Meeting – August 6, 1998

1.      The meeting was called to order at 7:00pm, with Nancy Revis presiding.




2.      Secretary (Jim Heagy)

·         Jim read the minutes of the previous Board Meeting.

3.      Treasurer (Chris Morris)

·         Chris reported the year-to-date income as $878.82 and the share value at $64.85, based on 77 Members.


4.      Membership Committee (Neil McLeod)

·         Neil distributed a membership roster to each Director present.


5.      Legal Committee – No report


6.      Audit Committee (Tom Crompton)

·         Tom reported that the Audit Committee had completed its review of FY 97 financial activity (all activity through Dec. 31, 1997).  Documents that were reviewed include: general ledger, tax returns, bank statements, and bank journal.  All financial documents were found to be internally consistent.  The committee is satisfied with the state of GIAC's FY 97 financial records and has accepted these records as an accurate representation of FY 97 financial activity.


7.      Financial Committee (Tom Crompton)

·         An official Financial Committee was formed.  Members are: Vice President (chair), Treasurer, Ralph Bram, Claude Revis, and two additional members.  The exact role of the committee was not defined.


8.      ISP Committee (Jim Heagy)

Jim reported on the Committee’s recent meeting with SigmaNet.  Highlights are as follows:

·         Due to hardware failure (soon to be rectified) the 301-479-0046 dial-in number is limited to 33K access.  Members with 56K (Flex) modems can use alternate dial-in number 301-474-2315.

·         In response to the ISP Committee's request for better technical service, SigmaNet is planning to hold a special training session for their technical representatives specifically on GREENBELT.COM accounts.

·         SigmaNet reported a recent security breach on one of their servers.  SigmaNet has assured the ISP Committee that the security hole has been plugged; however, standard security protocol calls for password changes to all GREENBELT.COM accounts.  Several suggestions were offered on a plan to implement password changes that would be as quick and as painless as possible for GIAC members.  The discussion was tabled, in favor of an off-line discussion.

·         SigmaNet said that they would look into reported problems with NASA URLs and e-mail addresses.  While no systematic study has been carried out, it is SigmaNet's position that the problems are likely due to NASA server configurations and not SigmaNet's.




9.      Classes

·         The July class, "Windows 95 Basics" taught by Bill Dupree, was well attended (total attendance of 35) and well received.  This is the largest turnout yet for a GIAC sponsored class.

·         The August class, scheduled for Wednesday, August 19, is "Internet Basics", taught by Doug Love.  Vonda Henry has agreed to serve as Doug's assistant for the class.

·         An instructor and topic are still needed for the September class.

·         Tom Crompton, class coordinator, reminded all that classes can be taught by anyone - not just GIAC members.

·         A special GIAC class exclusively for Girl Scouts to achieve their computer badge is under consideration as a future class; attendance would be restricted to eligible Girl Scouts.

·         The point was raised that teaching a class is an excellent VIP task.

·         Note that reliable class dates and times can be found in the Community Calendar online.


10.  Labor Day Festival

·         GIAC is still in need of volunteers to help with the Greenbelt Labor Day Festival Information Day on Saturday, September 5.  Setup runs from 9:30-10:30am and the GIAC booth will be manned from 11:00am-5:00pm.  Help is needed for the following activities:

-         Make flyers

-         Set up tables and chairs

-         Make membership kits

-         Booth operations

-         Photographs

-         Tear down and cleanup

·         Help is also needed for the Labor Day Parade on Monday, September 7.  The Parade begins at 9:00am.  Members interested in participating in the parade should meet at Nancy Revis' home at ~7:30am, whereupon they will be recruited to help adorn the Official GIAC Labor Day Parade Vehicle (aka Claude's truck).

·         It was decided to hold the GIAC September monthly meeting at Nancy Revis' home, in order to prepare for the Labor Day weekend.




11.  Volunteer Incentive Program

·         Neil McLeod moved that the VIP rules be relaxed so that new GIAC members are given 2 months to satisfy their initial VIP task (as opposed to 1).  After discussion the motion was amended to include the understanding that the rule change is a pilot program, to be reviewed by the GIAC Board in 6 months.  The motion was voted upon and carried unanimously.


12.  Publicity / Promotions

·         Nancy Revis reported that she has been in contact with Capital Monogramming and Embroidering for more GREENBELT.COM polo shirts.  After much discussion on what to charge for the shirts it was moved to charge $24 for all sizes.  The motion was voted upon and carried.  It was agreed that all shirts would be ordered on a prepaid basis.  Patty Merryman volunteered to poll the membership for shirt orders.


13.  Software Problem

·         The e-mail limitations of Internet Explorer 3.0 beta for Windows 3.1 were raised.  Serious errors occur when the IE e-mail client attempts to open an e-mail with several (>~30) addresses in the "to" field.  It was decided to find out how many users are affected before attempting a resolution.




14.  Scheduled Meetings

·         The next meeting will be held at 7:00pm on Thursday, September 3 at Nancy Revis' home.  The purpose of the meeting is to prepare for the Greenbelt Labor Day Festival.
